Cloud sharing is fast enough that it is easy to send a file before checking who can access it. A short permission review prevents many accidental exposures.

Know the sharing modes

Many services offer specific-person access and link-based access. A link set to “anyone with the link” can travel beyond the people you originally send it to.

Choose the minimum permission

If someone only needs to read a document, give view access rather than edit access. Use comment access when collaboration does not require full editing.

Check the recipient identity

Autocomplete can select the wrong person with a similar name. Verify the address before sharing sensitive material.

Set expiration when available

For temporary collaboration, some services can automatically end access after a date.

Review existing shares

Old project folders can remain shared long after the work ends. Periodically remove people and public links that are no longer needed.

Consider what the file contains

Before sharing, inspect hidden sheets, comments, revision history, metadata, or embedded personal information where relevant.

Safe sharing follows a simple rule: the right file, to the right person, with the least access needed, for only as long as needed.
